Privacy Policy

This policy explains what information Meridian Aerial collects through meridianaerial.io, why we collect it, who processes it on our behalf, and the choices you have.

It describes how this website actually works today. Where we do not do something — collect payment card details, run advertising trackers, sell information — this policy says so plainly rather than leaving room for it.

Who this policy covers

Meridian Aerial provides drone-assisted property inspections and documentation, and exterior cleaning, for properties in Palm Beach, Broward and Miami-Dade counties, Florida. This policy covers our public website, our contact and estimate request forms, and the Client Portal at meridianaerial.io.

It does not cover websites operated by anyone else, including sites we may link to.

Information you give us

Almost everything we hold about you is information you typed or uploaded yourself. You can browse the public site without giving us anything.

Contact and service request details

Our two request forms collect different fields. The home exterior cleaning form asks for your first and last name, email address, phone number, property address, approximate square footage, and any notes you choose to add. The commercial and property services form asks for your name, company, email address, phone number, property address, property type, approximate size, number of stories, building height, the service you are interested in, your preferred contact method, and a description of the work.

Free-text fields are yours to fill as you see fit. Please do not put sensitive personal information in them — we do not need it, and a description of the property is enough.

The two forms are handled differently, and it is worth being exact about it. A home exterior cleaning request is saved to our system so we can work it and keep the record. A commercial or property services request is sent to us as an email and is not stored in this website's database — it lives in our inbox until we act on it. If our system is briefly unreachable, a home request is emailed to us the same way so your enquiry is not lost.

Property and address information

We hold the address and characteristics of the property a request concerns, and for ongoing customers we keep property records so repeat work does not require starting over. Property addresses are necessary to quote, schedule and perform the work, and to plan a compliant flight.

Photos you upload

The home exterior cleaning form lets you attach up to eight photos. Your browser resizes and re-encodes each photo before sending it, and that re-encoding does not carry over the camera and location metadata embedded in the original file. On an older browser that cannot perform the re-encoding, a photo already small enough may be sent as it is, with its original metadata intact.

Either way, we do not read, extract, use or rely on location metadata from your photos. If a photo's metadata matters to you, remove it before uploading or send the photo to us by email instead.

Uploaded photos are stored in private storage. They are not published and not listed anywhere public; our staff view them through links that expire about an hour after they are issued. The commercial form currently does not accept uploads at all.

One exception is worth stating. When we email you an estimate or a report that includes photo previews, those images are attached as links that work for about 30 days without signing in, so that the email simply opens. Anyone you forward that email to can open them during that window.

Client Portal accounts

If you create a Client Portal account we collect your name and email address, and you choose a password. Your password is handled by our authentication provider and is never stored, logged or readable by Meridian Aerial. The Portal then shows you your own properties, proposals, reports and payment status.

Estimates sent by link

We send estimates as a private link with a long, randomly generated address. The link is not published or indexed, but it is not password-protected either: anyone holding it can open the estimate and see what it contains, including the contact and property details on it, and can approve or decline it. Treat the link as you would the estimate itself, and tell us if it is forwarded somewhere it should not be and we will reissue it.

Where an estimate carries an expiration date, the link stops accepting a response after that date. Not every estimate carries one.

Estimate responses

When you approve or decline an estimate we record that decision, the name entered with it, and the date and time. Declining offers an optional reason and an optional note. Both are optional, both are used to improve how we quote, and neither is required to decline.

Payment information

Meridian Aerial currently accepts payment by Zelle and by ACH bank transfer, arranged directly with you. This website does not process card payments, does not use a payment gateway, and does not ask you to enter a card number, bank account number or routing number anywhere.

When you request ACH instructions through the Portal, the only thing recorded is that you asked; we then send the instructions to you separately. No banking credential of yours is collected or stored by this website.

Information collected automatically

This is deliberately a short section. The public marketing site sets no cookies and uses no browser storage.

Cookies

Cookies are used in one place only: signing in. When you use the Client Portal, our authentication provider sets session cookies so you stay signed in and so we can tell your account apart from anyone else's. These are strictly necessary for the Portal to function. We do not use advertising, analytics or cross-site tracking cookies, which is why you are not asked to accept any.

Analytics and tracking

We do not run Google Analytics, advertising pixels, session recording, heat mapping or any third-party tracking script. The fonts this site uses are served from our own site rather than fetched from a font provider, so loading a page does not reveal your visit to a third party.

Estimate activity

When an estimate is opened for the first time, we record that it was viewed and when. We use it to know whether an estimate reached you before following up. It is the only activity of this kind we record, and we do not track your browsing anywhere else.

Spam and abuse controls

Our forms include a hidden field that automated submissions tend to fill in and people never see; a submission that fills it is discarded. When a home exterior cleaning request is submitted, we also derive a short value from the connection it came from, combined with the current date, and use it only to spot an implausible volume of submissions. Your address itself is not stored alongside the request.

Our own staff tools

Parts of our internal scheduling and recurring-service tools still keep their working data in the staff member's own browser rather than in our database. Where a staff member enters a customer email address or an appointment note there, that information sits in that browser until it is cleared. We are moving these tools onto the database, and mention it because it is a real place information can be.

Hosting and server logs

Our hosting provider keeps standard server and function logs for a limited period, as essentially every website host does. Those logs can include IP addresses, request times and browser user agent strings, and our own log lines record operational references such as a request number or a message identifier so we can trace a delivery failure. We use these for security, debugging and keeping the site running.

How we use information

  • Responding and estimating. Reviewing your request, asking follow-up questions, assessing the property, and preparing an estimate.
  • Performing the work. Scheduling, planning a compliant flight, carrying out the inspection or cleaning, and producing documentation.
  • Communicating with you. Sending estimates, reports, scheduling messages and replies to what you asked us.
  • Running the Client Portal. Showing you your own properties, proposals, reports and payment status.
  • Keeping records. Maintaining the history of properties, estimates, work performed and documentation produced, including for accounting, insurance and dispute purposes.
  • Security and fraud prevention. Protecting the site and our records, detecting abuse, and filtering automated spam submissions.
  • Internal operations. Understanding what we quote and why estimates are accepted or declined, so we quote better.
  • Legal obligations. Meeting requirements that apply to us, including aviation recordkeeping where relevant.

We do not use your information for automated decision-making that produces legal effects, and we do not build advertising profiles.

How information is shared

We do not sell your information

Meridian Aerial does not sell personal information, does not rent or trade contact lists, and does not share your information with anyone for their own advertising or marketing.

The companies listed below are service providers. They process information on our instructions so the website and our operations work. That is a different thing from selling data, and they are not permitted to use your information for their own purposes.

Service providers we actually use

  • Supabase — our database, account authentication and file storage. This is where home request details, customer and property records, estimates, reports and uploaded photos are held. Some parts of the site, including the Client Portal and estimate pages, talk to it directly from your browser, so it receives the connection information any web request carries.
  • Resend — our email delivery service. It transmits the estimates, reports and notifications we send, which means the recipient address and the contents of those messages pass through it. Account emails such as sign-up confirmation and password reset are generated and sent by our authentication provider rather than composed by us.
  • Vercel — our website hosting. It serves the site and keeps the standard server logs described above.

These three are the only third parties this website transmits information to. If that changes, this policy will change with it.

Service partners

Some projects involve a qualified partner or licensed contractor — for work that requires a licensed trade, specialty access, or equipment we do not operate. Where that happens we share only what that partner needs to do the job, such as the property address, the scope, and a contact for access.

Other circumstances

  • When you ask us to, or direct us to share something with your board, manager, insurer or contractor.
  • When required by law, legal process, or a lawful request from a public authority.
  • Where necessary to establish or defend legal claims, or to protect the rights, property or safety of people, including during an emergency.
  • With our professional advisers, such as accountants, insurers and lawyers, who are bound to keep it confidential.
  • If the business is reorganized, sold or transferred, your records may transfer as part of it, subject to this policy.

Photographs and property imagery

We treat imagery of your property in two distinct ways, and we do not conflate them.

Operational use

Photos you upload, and imagery we capture while performing an inspection, documentation or cleaning project, are used to do and record the work: assessing the property, producing your report, evidencing condition before and after, supporting a scope of work, and keeping our own project file.

Marketing use

Using identifiable imagery of your property in our marketing — this website, proposals to other customers, social posts, advertising — is a separate matter and is not something uploading a photo or hiring us grants automatically. We ask first.

If you have already agreed and change your mind, tell us and we will stop using it going forward, though we may not be able to recall material already printed or distributed.

How long we keep information

We keep business records for as long as they serve a purpose: while we are quoting or working for you, and afterwards for the period we may need them for accounting, insurance, warranty, dispute or legal reasons. Property documentation is often most valuable years later, which is part of why customers ask for it, so we do not discard it on a short clock.

A few things time out on their own: an estimate link stops accepting a response once that estimate's expiration date passes, and the links used to view photos expire. Those change access, not the underlying record.

We do not run an automatic deletion schedule. In practice that means records are kept until we delete them, so if you want your information removed, ask us — we will delete what we are not required to keep, and tell you about anything we must retain.

Two practical notes. A commercial or property services enquiry exists in our email rather than in our database, so a request about it is handled from our mailbox. And once an estimate has been answered or a report issued, that document is kept as issued; a correction is handled by issuing a revised one rather than by editing history.

How we protect information

Measures in place on this site today include:

  • Encrypted connections (HTTPS) across the whole site.
  • Database access rules that scope records to the account they belong to, so a signed-in customer can reach their own data and not another customer's.
  • Private file storage for uploaded photos and project media, reachable only through short-lived links rather than public URLs.
  • Credentials held as server-side secrets that are never included in anything sent to your browser.
  • Staff and administrative areas kept behind authentication and excluded from search engines.
  • Internal notifications that deliberately omit internal identifiers and CRM-only details.

An honest limit

No website, company or storage system is completely secure, and we will not tell you otherwise. These measures reduce risk; they cannot eliminate it. If we become aware of a breach affecting your information, we will act on it and notify you where the law requires or where it is the right thing to do.

Your choices and requests

Contact us at the address below and we will do the following, within what applicable law and our record-keeping obligations allow:

  • Tell you what information we hold about you.
  • Correct anything that is wrong or out of date.
  • Delete information we are not required to keep, including photos you have uploaded.
  • Stop sending you messages that are not necessary to a project we are working on.
  • Withdraw permission for marketing use of imagery of your property.

We may need to confirm who you are before acting on a request, particularly one to delete records. There is currently no self-service delete in the Client Portal — ask us and we will handle it.

Depending on where you live, you may have additional rights under state or other privacy law. We will honor rights that apply to you.

Children’s privacy

This website and our services are directed to property owners, managers, boards and businesses — not to children. We do not knowingly collect personal information from anyone under 13. If you believe a child has given us information, contact us and we will delete it.

Changes to this policy

We may update this policy as the website and our services change. The “last updated” date at the top shows when it last changed. If a change meaningfully affects how we handle your information, we will take reasonable steps to tell you rather than relying on the date alone.
